Three 3 basic correspondence types are essential in professional environments: professionlly formatted
emails, internal memorandums, and business letters.
Write a professionally formatted email that serves as a Letter of Transmittal for sending 3 attachments
(1 memo and 2 letters). A Letter of Transmittal will introduce the project and provide a synopsis for
each of the attachments.
Write an Informational Memo (for attachment 1) that evaluates the effectiveness of a technical
document. (Use the activity we started in class.)
Write 2 Business Letters (for attachment 2 and 3): a Claim Letter asking for restitution from a faulty
product or service, and an Adjustment Letter in which you deny the request of the Claim Letter
(this is referred to as a Bad News Letter).
The memo and the Bad News Adjustment letter should use a Company Letterhead (use the Easy Memo file
in which the ASU logo serves as your company letterhead). The Claim Letter should use an Individuals Letterhead (use the Easy Letterhead file). A letterhead design usually occupies the upper 1-2 inches of the letter,
and is placed in the Header area of your Word document
(For correct formatting of your final draft, Do Not use Google Docs, OneNote, Evernote, or
other groupware, because they do not allow this level of formatting).
A Letter of Transmittal frequently in the form of professional email, used in business to transmit important
documents. For this assignment, you will write a professional formatted email to serve as a transmittal letter.
The content for the transmittal letter will be the other documents in this assignment. Write a strong subject
line, purpose statement, advance organizer to start. Follow the opening with a separate paragraph that serves
as a synopsis for each of the attachment being transmitted.
I nformational memo
Businesses use the memo as a workhorse for internal communication. For this assignment, you will complete
the analysis memo we started in class (evaluating the effectiveness of a technical document according the the
8 Measures of Excellence described in the Markel textbook). You should adhere to the basic analytical structure in which separate sections describe the background and set the context, describe the methods you used
for your analysis, show the data you collected, and follow by summarizing what the data means.
T wo Business letters
Letters are the most formal documents a business uses, typically to write to constituents outside the company.
The most common letter types used in business is the letter of inquiry, claim letters, and adjustment letters. For
this assignment, write two letters:
The first is a claim letter in which you write from the perspective of a customer and ask a company to
reimburse you for either a lost item, faulty equipment, or another reason for which you feel justified in
asking for restitution.
The second letter is an Adjustment Letter (called a Bad News Letter) in which you write from the companys perspective and deny a request made to you in a claim letter.
This assignment is graded on professionalism, thoroughness, and how well you listen to instructions
during class about format. content, and strucutre. I provide a checklist of grading criteria for you to use
