The Expected Duration to complete the project is 28 days, and the critical path for the
same is 2nd, 4th & 5th task.
Analysis:
The first and foremost requirement of any project is the Requirement gathering, this is very
important and the difficult task to implement. Because before start working on anything, you
must be clear about what exactly needs to be done. If you have not analyze the requirements
thoroughly it is obvious you will get the different output and hence the client’s frustration and
anger. So for completing this task you will have to meet the client.
In this scenario we are assuming that the task “meeting with client” will complete into 10 days,
after that the interviews will be scheduled with the managers and the requirement gathering
session will start. This needs to be done very thoroughly and carefully. This expected
completion time of this task is 8 days. After the requirement gathering session, we can execute
two works parallel to save the time. These two tasks are reviewing the company records and
analyzing the business operations. Reviewing the company records will give you an idea about
the data and figures, you may get some loopholes here which must be clarified from the
managers and accordingly new methods can be designed to resolve the issues. This task assumes
to be complete into two working days. The parallel task, we can perform with this task is,
analyzing the business operations. Analyzing the business operations will give you an insight
about the work-flow, the company is currently following. This task assumes to take 7 days; again
this is a very important and critical step to be done, because you will be able to understand the
current process. If you know the process thoroughly, then only you will be able to execute the
task on the system. This task will give you an understanding of the tasks they are following, you
will get to know how exactly they are working and now why they need to implement the new
solution into their business.
You can also suggest new process based on your analysis, and if the client approves the process,
you can go ahead to implement the same.
After reviewing the company records and analyzing the Business operations, the BumbleBee
accounting software will be analyzed to check its functioning. You will get to know about the
accounting software’s and on what parameters this software is based, how the whole account is
being managed, what are the important factors, what are the dependencies between the things, if
any, what are the loopholes in the software, etc. This is again very important and the critical step
in project management analysis tasks. This task assumes to be completed in 3 days. After this
step, a sample study is considered to analyze the sales and billing transactions of the company.
This step will give you information about the primary keys needs to be maintained in the new
database of the project, the dependency factors, the format of the input and output, etc. Based on
these facts you can design the new solution. Identify the process gaps if any in the process flow
and the sample data. This task assumes to be completed into 1 day, because a single day is
sufficient to analyze the case-study once you understand the process thoroughly.
In the PERT/CPM chart the TE indicates the Total Estimated Time to complete an activity. By
analyzing the activity time of all the tasks, we calculated the total expected duration of the whole
project as 28 Days, as shown in the figure.
All the dependent tasks are shown in the table in the Dependency column. These tasks are
identified based on their nature. For the first task, you do not have any kind of dependency. The
second task is dependent on the first task, because for scheduling with the client or in our case
the managers, one must have to visit the client’s locations. Now the next step which is reviewing
the company records is dependent on its prior listed task which is conducting client’s interviews.
Because if you do not conduct the interviews first of all you will not get the necessary approvals
to view the records and the next thing is you will hardly understand anything. Once the manager
has told you about the process and his exact requirement, it will be easy for you to understand
the process. Same is the case with the next step, which is analyzing the business processes, once
you get an insight about the process flows, you will easily understand the process currently being
followed in the organization. And you can also determine if there are some gap in what the
manager has told and what exactly is being followed in the organization. After reviewing the
company records and analyzing the business processes, you can go ahead with analyzing the
BumbleBee accounting software; this task depends upon the prior listed two tasks, if the two
tasks mentioned before are done, then only you can go ahead with this task. Analyzing this
accounting software is a very critical step and has a dependency on the 3rd and 4th tasks listed
above. After this a case-study is done considering a sample case based on sales and billing
transactions. After this analysis you can go for designing your new system, means what needs to
be done exactly, what is the existing system and how this system will be implemented in
software, what changes needs to be done in the current and existing system.
