System analysis is the process of studying a system or a procedure so that we can be able
to identify and define its goals, objectives and purposes. The main purpose of the analysis phase
of a system is to discover the procedures, operations and all necessary plans to accomplish the
required tasks for an operational system. Therefore, before conducting a system analysis, it’s
always advisable to start with a proper plan that conforms to the system requirements stated
before. In this phase, I shall be conducting a system analysis of the COLLEGE ADMISSION
SYSTEM. This is a comprehensive system that will enable the admission of students in a college
be conducted online. All the functionalities that are usually done by hand will be transferred to
online platform. All the forms that need to be filled and signed shall be available and can be
downloaded and resubmitted after proper filling.
This system is supposed to ease the process of students being admitted to the college to
be able to do it on their own using an online platform. They shall be able to even do it from home
without necessarily having to come to the college. This system shall allow them the create
accounts, update details, check on fees structure and even make necessary required payments to
continue with the admission. In this analysis we shall be checking that all the stated requirements
have been met. This system shall ease the congestion previously observed during the manual
admissions which are usually tiresome and time consuming moving from one department to the
other. Success of this system will be entrusted to professionals and experts in the various fields
of designing such a system. This system may take about three months to complete.

To ease the process of admitting student to the college by providing an online
where they can fill up all the required details for their admission without necessarily
presenting themselves to the school premises physically.

To translate manual admission to online platform where all activities related to admission
will be digitized to meet reflect the manual system.

Ease congestion, time consumption and reduce usage of resources of paper work that are
wasted on manual systems. When each student does on his own, costs shall be shared and the
school will not bear the cost of print papers and any other costs involved.

The major constraint is time and budget. We have a limited time of about 3 months to
complete the system. Our budget is fixed and therefore any additional costs outside the budget

For the success of this system project, we need various kinds of staffs with different
levels of skills and expertise. We shall have the project sponsor who is our College. The project
overall manager who shall be responsible for overseeing all the progresses of the project will be
Beckam. He will be assigning duties to the rest and will be ensuring that everything is done
correctly and on time. The college admission system is an online platform and we shall need a
database where all the files and all the details of the user of the system shall be stored. The
database part shall be handled by Migan who is a proficient in all database works. We also need
a website developer who will create a stunning students portal or website where the admissions
shall be taking place. This will be professionally handled by Marcus. All these professionals in
different fields will ensure the success of the system development and also the testing part

the analysis of systems. He will be able to analyze and keep on check of whether the stated
requirements are being satisfied as we progress in building the system. The implementation part
and deployment shall be handled by Susan who shall conduct massive training of the users of the

This is the actual analysis phase where we shall identify all the system requirements both
the functional and non-functional requirements. The functional requirements should indicate the
real functionality that the system will be expected to accomplish. For example, the college
admission system should be able to allow students and the other users of the system to be able to
create account, be able to log in to their accounts, they should also be able to update their
accounts for example changing passwords and emails or even the profile pictures. They should
also be able to perform admission services in their respective categories for the graduates who
are applying for higher levels and for the undergraduates. This functionality should be separated
due to different requirements. They should be able to download all the necessary files, fill them
correctly and then scan the document and resend via the same system. The system should also be
able to allow the users get access to all necessary fees to be paid and also provide financial aid to
the needy.
The system should also have some attributes that it should strive to achieve in the process
of its functionality. This shall be taken care of by the nonfunctional requirements which include
the performance where the system should be able to utilize the resources allocate to it for
example the CPU time and all other resources. It should have a high response time that is, it
should not take too long to respond. It should respond faster even when there is a large number
of people accessing the system. The system should also evolve accordingly, it should not have
high maintenance costs. The repair should be less costly. It should also be safe and secure and
should not risk major losses or exposure of personal details in case of loss

This section shall comprise of all the necessary requirements indicated in our statement
of requirement deliverable. We shall be checking to see that all the functionality and nonfunctionality of the system have been met or satisfied. The requirements are the key guidelines to
solve our problem. The success of the system project shall be declared successful if all the

registration, the user should be provided with an admission number that shall be used

example the CPU time. This will ensure that it is effective in its operation. It should not
under user or over use any allocated resource.

2.1 maintainability- it should be highly maintainable in terms of costs and repairs. It
should not be too expensive to repair in case of failure and also should not have high
maintenance costs.

and also after completion of the whole system.
2.3 extensibility and scalability- the system should provide room for future expansion
to accommodate more functionalities. It should also be highly flexible.
