I believe that instant-messaging is not an effective method for technical communication because
it not a professional means of communicating with another person. Technical communication has
to be professional, and instant-messaging just seems to be very casual. Instant-messaging is also a
form of communication that you would use more of with friends and family members rather than
with colleagues in a professional business setting. I think it is too informal for professional
communications. Instant-messaging might also not satisfy a wide variety of readers in this single
communication. Let’s say for instance that you are sending an instant message to a group of
colleagues, someone in that group might not like this form of communication or might not be too
familiar with how it works. In this case, it can cause problems not only for you but also for the
person reading the message. I agree, that this type of communication is faster but it might not get
your point across as effectively. This communication is also not organized, which is another reason
why I do not think it is formal. As a technical communicator, we have to think constantly about
our readers and if this communication is informal then it can cause problems.
I do not believe that instant messaging is an effective way for technical communication. Recently
while car shopping with my parents that topic came up because we noticed that car salesmen would
just assume text to ask questions or get information instead of call or even send an email. While
my entire family debated on if this was professional or not I stood firm on the decision that it was
not professional and I probably would not purchase a car from someone who cannot even take the
time to pick up the phone and call me to ask a question or set up a professional style email. While
yes to quickly gather information or spread the word instant messaging has the upper hand I believe
in a professional atmosphere if it were the main form of communication people would consider it
tacky because it is so free flowing and easy. Also I think it would be more difficult to give step by
step instructions or convey a certain mood or stress an important point in instant messaging which
makes it hard on your readers. As any type of communicators we have to consider our readers and
in a professional atmosphere with who our readers are I strongly believe instant messaging is not
an effective way of technical communication.
I don’t think Instant Messaging is a professional form of sending communications. Since it is more
like a real conversation, as the PDF stated “things can be left out.” I don’t know how many real
conversations I have had where I have forgotten to mention or bring up concerns/issues. When an
email is written, more time is usually taken to make sure all points are covered. Emails are also
more private than text messages and there is no telling who might accidentally see the text
messages. Also, there might not be time to have a full-on conversation via text messages
concerning business dealings.
There might times where short conversations via text messaging might be all right. For instance,
someone is expecting an email, a text message letting them know the email has been sent would
be a good thing to do. It lets the person know to check their email. An instant message could also
be used to give a short summary of what to expect in the email instead of trying to carry on a full
conversation. Email still seems to be the best wait to communicate in a professional manner and
with so many emails apps available for electronic devices it is now much easier for people to gain
instant access to their emails without having to go through the entire log in process.
I think the effectiveness depends largely on the nature of the communication. Instant messaging is
largely for short, informal messages. If the question posed in the communication is a short question
eliciting a similarly short response such as a yes-no answer, an instant message is extremely
effective compared to other communication methods. However, if the question concerns
comprehension, explanation, or other longer responses, instant messages are not as effective as
other forms of communication such as email or a company memo. Each form of communication
has its own strengths and weaknesses. In the case of instant messages, they have the advantage of
extreme speed at the cost message complexity and length. In contrast, emails, memos, and letters
can communicate long complicated messages like business proposals or decision justifications. I
think the appropriateness of instant messages as a whole is dependent on the company culture.
There are many companies in the United States which maintain a professional business culture. In
these environments, instant messages would be too informal. However, other companies maintain
a more casual environment. In these environments, instant messages would be appropriate for
technical communication. In summary, the effectiveness and appropriateness of instant messages
depends on the context of the situation. The writer must consider what the reader is expecting and
take a reader-centered approach.
I honestly do believe that instant messaging is an effective method for technical communication
in the workforce. I have worked in a professional business setting multiple times and we always
had some form of instant messaging between co workers that we used very often to communicate
quickly. It is just so much easier to use instant messaging when you need to communicate with
someone quickly. Email works fine but is just much slower. Though instant messaging is
convenient it does have its draw backs. Sometime you do need to be formal when contacting
someone and when this is the case its just better to use email. Email offers more depth to your
writing and is much more professional when its needed. When I would have to talk to clients or
higher ups in the company I used to work for emails were used because it was just easier to look
professional. Overall I definitely feel that instant messaging is useful for technical communication
and if you really need to be professional with instant messaging then it is definitely possible.
Instant messaging is unique in the fact that its super quick and convenient and I think that makes
it very useful overall.
