IX. Project Management
Project Description
To fully appreciate the necessity of this project it is essential to examine the current
business infrastructure before this proposal. Trusty Carpets (the client) has been operating for
over 20 years out of a strip mall which has over the years grew to be a busy retail hub. Trusty
Carpets currently has no IT infrastructure in place designed to document, track and manage
customer orders, inventory, procurements or customer feedback. They employ the services of an
external accountant however he works independently from Trusty carpets, and there is ondemand access or integration of this with the business system since it is a standalone service. As
time passed, business has grown organically due to new residents moving to the town and the
resulting construction of homes in the area. This organic growth resulted in the strategic
acquisition of Metro Carpets which is another carpeting business on the other side of town.
Although Metro Carpets boasted a 20,000 square foot showroom, space is 50% utilized, and it
utilizes little or no IT infrastructure in place to process customer orders and track inventory.
Additionally, Trusty Carpets has also made the tentative strategic move of merging their carpet
sales business with their longtime carpet installation contractor. All this is contingent on a
positive review from the EPA on the WARM program which is geared toward reducing
greenhouse gas emissions by way of carpet recycling. Trusty Carpets is a company that is
heavily involved in conservation and building a green business as part of its expansion goals. It
is important also to note that Trusty Carpets does not have a website where it can advertise and
process orders/feedback. This is one essential aspect of the business strategy that is lacking.
Trusty Carpets sells approximately 250,000 square feet of carpeting yearly with sales
totaling $1.2 million. Seventy percent of its sales is mid-grade carpet and padding. This result in

a net profit of about $100,000. The net profit is significantly below industry standards even
though production costs are within acceptable levels for this industry. Metro Carpets, on the
other hand, sells $3 million in annual sales with a profit of $360,000. Costs are also within
acceptable industry levels, but just like Trusty Carpets, there is room for profit maximization.
Profit needs to be maximized to at least 30% of gross revenue. The business operational
strategy needs to be effectively developed. An IT infrastructure needs to be developed, and the
business locations need to be integrated efficiently. Though costs are within industry standards, it
is also an objective to reduce it by at least 10%. Team Omega has studied all these requirements
and recommends the integration of the Odoo Enterprise Resources Planning (ERP) application as
an effective starting point. An ERP application effectively links all aspects of the business
strategy via one application. It is essential in managing “day-to-day business activities, such as
accounting, procurement, project management, and manufacturing. ERP systems tie together and
define a plethora of business processes and enable the flow of data between them. By collecting
an organization’s shared transactional data from multiple sources, ERP systems eliminate data
duplication and provide data integrity with a “single source of truth.” (Oracle, 2018).
Odoo / OpenERP is the perfect ERP candidate for Trusty Carpets. It is a comprehensive
suite of business applications including Sales, CRM, Warehouse management, Manufacturing,
and Financial management just to name a few. Odoo / OpenERP offers a choice of over a
thousand modules. Odoo / OpenERP is available in the cloud or on-site and is most perfect for
small to mid-sized companies such as Trusty Carpets. Odoo is flexible, has a dynamic support
team and user community and can be adapted to various business needs. There is also an inbuilt
optional module for website creation which Trusty Carpets can take advantage of. It can be put

into production rapidly thanks to its modularity. It is also very easy to use and requires only basic
IT knowledge. Its benefits can be summarized thus:

Project Team Member Roles.
Project Executive Sponsor: The Project Sponsor is the executive sponsor with a verified
interest in the outcome of the project. He/ she is ultimately responsible for securing funding and
resources for the project. It does not need to be one person. In a nutshell, the Project Sponsor
will:

Oversee high-level project progress
•
Provide the project vision (overall goal/objective)
•
Works to resolve organizational policy issues as they arise (including budget)
•
Functions as the prime “cheerleader” of the project and communicate directly
with senior management

•
Provide ongoing support and consultation for project development
•
Approve the completion of the project.
Project Manager: This individual will ensure that the project is completed within its set
timeframe, scope, and budget. The Project Manager will work directly and regularly with the
client (Trusty Carpets), as well as all other project team members to coordinate the goals,
objectives, work process design, meetings, communication. In summary, the PM will:
•
Develop the project and implementation plans
•
Initiate and coordinate meetings related to the project.
•
Monitor and review all project activities and ensure that task deadlines are met.
•
Regularly communicate project progress to all stakeholders, as well as request
approval/feedback for project deliverables.
•
Assist with change management process regarding the project tasks.
•
Maintain project records and create a master document for the project
•
Resolve additional or unforeseen issues that arise in the course of the project
execution.
Solution Integration Expert (IT): This Project team member will be responsible for the
integration of the Odoo ERP system into the IT infrastructure. Since Trusty carpets have more
than one business location, the task of this individual will include setting up an IT and

communication infrastructure that will support the use of this ERP solution. The tasks will
include:
•
Pricing, designing, setting up and developing an effective LAN/WLAN network
system for both facilities (Trusty Carpets and Metro Carpets).
•
Pricing, designing and standing up an effective data storage, backup, and recovery
system for both facilities (Trusty carpets and Metro Carpets).
•
Pricing, designing and implementing the required network and endpoint security
system required for the adoption of Odoo.
•
Assessing and recommending the appropriate business continuity and disaster
recovery plan required when using Odoo
Solution Integration Expert (Business Process): This team member focuses on the
integration of Odoo with the business process and operations side of the house. Additionally, he/
she will be tasked with developing an operations model if one does not exist. The objective is to
ensure that whatever is developed and implemented is agile and compatible with the use of the
recommended Odoo ERP solution. In summary, the roles will be:
•
Designing and implementing a foundational business operation plan for the Metro
Carpets facility
•
Designing and implementing a foundational business operation plan for the Trusty
Carpets location.
•
Investigating and implementing the modules available in the Odoo ERP system
which will meet the requirements of the client.

Tester/Quality Assurance Expert: Per the American Society of Quality, quality assurance
is defined as “the planned and systematic activities implemented in a quality system so that
quality requirements for a product or service will be fulfilled.” Therefore, this team member
essentially verifies that every aspect of the implementation process functions as it should. As
each project task is completed, this individual test to ensure that it is agile, effective and points
out any concerns or vulnerabilities. Tasks include:
•
Testing and verifying the accessibility and use of Odoo ERP on the LAN and
WLAN network at both business locations.
•
Testing to verify the in-place data backup and recovery system is functioning as
expected.
•
Performing an in-depth test of each Odoo ERP module and ensuring it adequately
meets all business requirements.
•
Performing an in-depth test on the Odoo system as a whole internally and
externally to determine all business requirements are met.

The background and environmental analysis will take the team two weeks to analyze the
business structure of trusty carpets and discern the business need. Trusty carpets is a business
that has substantial growth prospects. Also, it had an acquisition hence the need to develop a
system that syncs the business operations between the two businesses. In-depth background and
environmental analysis will take two weeks. The leader in this phase will get the task to assign
different tasks to the team members for a survey of the two businesses. The cost in this phase
will be the development of questionnaires to complete the survey.
Problem Analysis
The problem analysis will involve all the team members. All of the members will have
equal roles. From the survey, the team will determine the possibilities that exist to enhance the
business environment. The team will address the cores issues.

Proposed Solution
This phase will involve the development of all possible solution to the core need for the
business. The solutions will revolve around the identified problem. The solution will have to
revolve around a commercial software product, which the team will select by the best returns on
investment and business suitability. The team will also have to deliberate on the best choice
between a hosted solution and an on the business site-maintained solution. The problem analysis
will also involve brainstorming on the expected improvements to the business operations. The
expected improvements will contain a list of both the tangible and intangible benefits of the
proposed solutions.
Alternative Analysis
Next after the proposed solution will be a synthesis of the alternative solutions to the
proposed solution. The purpose of the alternative analysis will be to determine the best possible
alternatives the solution. It will be a phase to form the basis for the justification of the proposed
solution. Some of the team members will have the responsibility to identify the alternative
solution. One of the solutions will be technological while the other will be non-technological.
The rest of the team members will get the responsibility of analyzing the feasibility of the
alternative solution.
Feasibility Analysis
The feasibility analysis phase will include a lot of estimations and calculations of the
projects costs and the estimated returns. i.e., the cost-benefit analysis. This step will involve the
evaluation of the various system requirements for the alternative solution, and carry out a
feasibility analysis based on the costs and the benefits.

Requirements Analysis
Requirement analysis will involve developing a checklist of the system requirements.
These requirements will include the functional requirements, a list of what the system will do
data requirements, technical requirements, and the security requirements. The system
requirements analysis will then facilitate the development of the context diagram. The context
diagram will be a representation of the various interfaces between the users. The users will
include the employees and the customers.
Risk Management
In this phase, all the group members will engage in identifying the possible risks to the
system operations and development. After the identification, the next step will be the
development of solutions that will be used in convincing the client that the system risks are
manageable and can be mitigated. So, the risk management phase will also involve the
development of the appropriate security measures.
Performance Measures
This will be the final step in the development of the system. The performance measures
will be a list of how the client determines whether they are receiving the expected benefits. The
