Project Outline
MUFG Union Bank is one of the major banks in United States of America. It is one of the
leading banks with numerous branches across the globe. The bank was founded in the year in the
year 1864 by the name union bank of California. Union bank has major commercial branches in
New York City, Dallas, Houston, and Chicago. It has an average of about 12141 employees. Due
to its large size, the organization has a complex organizational structure. The human resource
department has been facing challenges in managing the large number of employees. In trying to
resolve various issues within the organization, MUFG union bank has been designing various
technological systems to automate operations within the organization.
The IT department is one of the critical departments within the financial institution. Most of the
transactions pass through an automated system. Financial institutions especially banks require a
sound organization structure with a known command chain. The sound structure is necessary
because a slight mistake in communication can result in huge losses. Currently, the bank has an
organizational structure whereby the chief information system officer is the topmost position.
According to the organization’s policy, the respective roles of the CIO are well articulated, but at
times they are flexible depending on the nature of the situation. One of the major roles of the chief
information system officer is supervision of all the junior staff. All the staff in the IT information
department receives directions from the CIO. Moreover, the chief information systems officer acts
as a procurement office during the purchase of IT technological appliances which include both
hardware and software.

The chief information systems officer also supervises projects within the organization.
According to the organization’s memorandum he is expected to ensure that junior staff adheres to
project outline. Next in the organization hierarchy is the system analyst. Both the CIO and system
analyst work closely to ensure that everything in the department runs smoothly. The major role of
system analyst is to offer expert knowledge concerning information systems. Due to the
complexity of operations within the organization, MUFG union bank is working hard to
incorporate new technological changes which will improve the efficiency of operation in the
human resource department. Currently, the bank has been experiencing major setbacks due to lack
of efficient communication between the various departments. The current system confines staff in
the IT department. Hence, they do not have a slight idea of what happens in the other departments
within the bank.

Human Factors and Productivity
Human resource management is one of the major departments that affect productivity in banks.
The success of a respective organization depends on how the human element contributes towards
the achievement of the laid down objectives. According to research, each person has a personal
desire which they yearn to achieve through working (Cascio, 2018). Both the organization and the
human element have different desires. As for the organization, the utmost goal is the achievement
of profitability while the human element works to receive funds to cater for their daily basic needs.
Achievement of organization success is possible if achieved both parties must have a common
understanding. Most organizations have embarked on the notion that it’s better to have a few
employees who are productive.
Currently, in the organization, personnel in the IT department are confined to their specific areas
of operation. As a result, a respective employee cannot be able to work in another department in
case of emergencies. Also, the bank has been experiencing numerous cases which involve fraud
in the IT department. After analysis, the management has found out that employees internally
commit most of the fraud. To improve the level of productivity within the IT department, Union
bank must be able to design strategies which improve the level of satisfaction of employees.
Certain strategies such as the provision of incentive, the creation of a good working environment,
and improvement of organization culture or improvement of communication amongst the junior
and senior staff improve the employee level of satisfaction.

Vision
Vision entails creating a statement that will guide an organization over a specified period. This
trait is the essence of any leader in an IT firm. A good leader can create a vision, articulate the
vision and relentlessly drive it to completion. The ability to visualize and articulate a possible
future allows an organization to tailor its internal business process to meet a specified target
(Nixon, 2012). A leader with a clear vision can drive its organization to complete its processes
effectively and achieve success. Vision can be enhanced through proper planning and
prioritization. Making visualization and articulations without proper planning can contribute to
burnout and frustration. As such, a leader can achieve proper planning by undertaking a close
feasibility study of organization requirements, available process, and the target audience.
Self-drive
Employee self-drive is a critical aspect of the workplace that contributes to the performance of the
IT organization. A self-driven employee is one who engages in the completion of a task without
any external push or expectation of reward. Such employees are often known to be highly
productive and they often contribute enormously to the success of an organization. An organization
can improve the employee self-drive by creating a foundation that accommodates full and
continuous motivation (Azim, 2010). Essentially, the motivation of employee can entail engaging
them in important decisions that affect their contributions, correctly them privately, praising them
publicly and making the rewards achievable.

Honesty and Integrity
Honestly and integrity come as part of the essential employee and leadership traits in an
organization. Employees that value honesty and integrity experience a ripple effect as they
contribute to the success of an organization. These traits allow the employee to relate peacefully
as they collaborate on various projects. Honestly and integrity fosters a working environment that
allows employees to engage with each other and improve the rate of productivity (Azim, 2010).
The elements of honesty and integrity can improve by creating an awareness of their importance
in the success of an organization. Such an awareness can be accompanied by proper education of
how honesty and integrity can be achieved by all employees.
Hard work and commitment
Hard work and commitment entails a great deal of effort and education to the various
process in an organization. The dedicated employees believe that their contribution is truly
important to the success of an organization. The more the hard work and commitment of employees
in an organization the greater the momentum of ensuring that a job is done (Morris, 2010). Hard
work and commitment contribute to the increased productivity of employees hence allowing an
organization to achieve success. These traits can be improved by creating a working environment
that advocates for proper training and developed. An organization can introduce proper training
methods to ensure that already and commitment employees fully maximize their skills and
competencies.

factors entail the creation and implementation of a new idea. The IT industry comprises of highly
competitive firms, which are all striving to stay ahead of the game. Innovation is the process of
coming up with a new idea and creativity is the ability to combine the connect the ideas to ensure
a meaningful project (Nixon, 2012). Creativity and innovation stimulate the path of success by
improving the internal process in an organization. An organization can spark innovation by
developing an open and creative working environment that allows all the employees to present and
share ideas.
Communication
Communication plays an essential role in all facets of an IT organization. This factor is
useful in product development and implementation, customer relations, employee management
any other aspects of business operations. The need for proper communication can range from the

Union bank should ensure that all employees are equipped with the best organization skills.
Communication is one of the basic factors in every institution. The bank should ensure that the
chain of command is short. Also, the chain of command should be precise and other options stated
in case of emergency. Currently, only the CIO has the authority to give directions. However, at
times the CIO is not always around hence disrupting some operations which require his
authorization. Union should delegate some of the responsibilities to the system analysts to improve
efficiency operations.
Currently, the organization has a large number of employees. Handling the records requires a
sound information system. Handling of the employee records is aimed at ensuring that bestperforming employees are motivated. Adoption of a system that has features able to monitor
employee performance will improve the efficiency of operations. Finally, union bank should
practice job rotation. Long working days in a particular position is likely to lead to conflict of
interests. Banking institutions usually require a lot of confidentiality due to the nature of the
business. A respective employee may be tempted to hack into the system if he or she has worked
in the specific post for some years.

Project Manager
The project manager serves as the chief operating officer of a project. He or she is in charge
of implementing new standards of work process and ensuring consistency and sustainability in the
project practices. The project manager ensures that the project proceeds with the allocated labor,
defined budget, specified duration and is able to achieve its objectives. Moreover, the project
manager develops a project plan, manages the deliverables according to the plan, selects and recruit
project staff, lead the project team, solve any conflicts arising in the project team and offer any
updated regarding the project development (Müller, 2010).
Project Sponsor
The project sponsor is a member of the executive committee who suggests and advocates
project to an organization. He is in charge of resolving policy and resource issues such as funding.
The project sponsor reviews and approves the project charter and project proposal. Moreover, he
or she monitors the project status and any issues with the project manager and the client as needed

(Baiden, 2011). The project sponsor assures the completion of the project within the stipulated
budget.
Service Owner or Project Owner
The project is an organization or an individual who delivers and utilizes the expected
benefits of the project. This stakeholder develops a project proposal and offers an overall recap of
the business requirements. The project owner also bears the responsibilities that ensure that
successful completion and implementation of the project. As such, he works closely with the
project manager and projects sponsor to ensure that the project is delivered within the assigned
scope.
Business analyst
The business analyst is also part of the IT project. He or she provides the necessary
knowledge and skills of a particular domain that is critical to the development and completion of
the project. The business analyzes the business requirements documents and assists the technical
team with clarification of questions that arises regarding the identified requirements (Baiden,
2011). He or she also assists the quality manager in the creation of a functional testing plan for the
verification of the project.
Project Team
The project team comprises of the staff from both the functional and the technical section.
This group entails, project administrator, architectural designers, developers, programmers, and
testers. The primary responsibility of this group of stakeholders is to deliver the project
requirements within the assigned scope and schedule (Baiden, 2011). As such, they have a

responsibility of communicating frequently and working as a team to ensure that the business
requirements of the projects are completed. The team communicates the project status to the
project manager and any issues encountered during the design, development and testing process.
