of the sum of money required to complete the project. Scope are the useful elements that,
when finalized, constitute the final deliverable for a project.
This project plan discusses in details the contract between Victoria University
Information Systems Consulting (VUISC) and eFashion Pty Ltd to implement SAP Business
One. The contract also indicates that the following must be included; the installation of
appropriate software, hardware, and training of staff at the Head Office and the client’s
branch offices. Implementing SAP Business One will help improve business operations as
well as enhancing activities such as sales and marketing. The software not only make work
easier but it also risk-free and can store a large capacity of data. The plan incorporates all the
relevant tasks, deliverables, milestones, risk events, phases, budget allocations, and quality
requirements.
Project Scope
The scope of the project include; installation of hardware and delivery, installation
and configuration of SAP, data migration, testing, end-user training, and user acceptance test,
and launch. Supply, implementation, and support of SAP will include the entire range of
processes at eFashion Pty Ltd. It will also in involve installation and configuration of the
SAP system. Data migration will take place from the current systems to uninitialized
resources.

VUISC will contract Brain from ABC Construction to alter the current fashion service
room to offer an appropriate space to install the new server. The consulting firm will also hire
Just Cables Pty Ltd to install cables that will connect the server to the network.
Business Case
The project is essential because it addresses the issue of integrating the activities of
several departments within an organization. Implementing the SAP Business One system will
make it easier to transfer and store sensitive and vital data. Bansal (2017) wrote that the SAP
Business One system has the following advantages and disadvantages;
Time Efficiency
SAP Business One ERP takes only a few weeks to install, implement and streamline
with a firm’s other systems such as customer management, finance, and manufacturing. Its
key operational metrics enables a business to access information in real-time. Additionally,
the system is easy to upgrade and customize to meet the changing requirements of an
organization.

Risk
Technology risks originate from software and hardware failures of various machines
used in running the project. An instance may be, midway through the project; project experts
may come to recognize that, the cloud-service provider they are using is not satisfying their
performance benchmarks. To fix scope and technology risks, project managers should ensure
effective monitoring of defects in both hardware and software components of projects. Signs
of hardware or software failure should be fixed early before project performance slow down.
To cater for scheduling risks, project managers should make use of software such as
Work Breakdown Structure (WBS), RACI matrix and other programs like Gantt charts to
assist in scheduling and planning. Resource risks can be minimized through maintaining a
common construction team throughout the project. The project team should work from
planning stage to implementation stage without involving other new and less experienced
workers.
Communication
Keeping communication lines open and teamwork is importance to the project. If
there are miscommunications or discord within the team, work lags and the project stalls
causing project plunders and blown budgets. The senior testers, user group managers, will be
in charge of determining technologies to be used. Information will be accessed via the
intranet as well as through meetings. Information will be updated on the intranet on a weekly
basis. The communications management plan will be updated via meetings conducted on a
weekly basis to cater for eventualities that would have come up during the week.

Creating a project schedule is vital to the success of any project. The project manager
will work with the stakeholders and project team to enter activities and deliverables into the
project timeline. Team members can quickly view the project schedule to determine when
tasks and deliverables are due. The project manager can also use the project schedule to
make last minute changes and determine if the project timeline is negatively affected.
Critical path analysis allows the project manager to determine which deliverables are due that
can adversely affect the project’s outcome. Establishing a project schedule baseline enables
the ability to assess performance and improve future project estimation accuracy.
